About the Role

We are seeking a dynamic and motivated Assistant Manager to join our ambitious startup. The Assistant Manager will support the day-to-day operation in various functions and will be responsible for coordinating and driving/pacing multiple key projects from inception to completion, ensuring that they are completed on time, within budget, and to the highest quality standards. As we are a startup, projects requiring project management and realisation support are not just technical in nature but also in manufacturing, operational and back-office and sales and marketing.

The successful candidate will work closely with cross-functional teams and subject matter experts, including product development, engineering, design, and business development, to drive successful project outcomes. Furthermore, projects will require coordinating between internal teams, freelancers, external suppliers, manufacturers, customers and other stakeholders.

In this role, we seek a proactive doer nature, and as a startup, you will be actively involved in building up the business acrosss functions and how we do things.

Role & Responsbilities - What you will be doing:

Assistant and Project Management support
  • Asisstn and support the functional leads and CEO on day-to-day operations

  • Coordinate and support project management for multiple projects simultaneously, from inception to completion

  • Support the development of project plans, timelines, and budgets and ensure they are adhered to.

  • Identify and mitigate project risks, develop contingency plans, and manage project issues as they arise.

  • Ensure agreed quality standards and are delivered on time and within budget.

  • Work closely with cross-functional teams to ensure project objectives are met.

  • Collaborate with team members to define project requirements, scope, and deliverables.

  • Ensure effective communication and collaboration between all stakeholders.

  • Facilitate (project) status meetings .

  • Manage records and project documentation, including project plans, status reports, and other project-related. materials, especially maintaining in Clickup for transparency.

  • Continuously identify areas for improvement for better efficiency and effectiveness and, risks of bottlenecks.

  • Help find solutions to problems and support and act to implement and realise the solutions.


Marketing Support

Support the development and execution of marketing campaigns and, the development and realization of content marketing. We are looking to establish an ambassador program and engage with early product adaptors.


Bring the vision of a new eco-system to reality

As the project manager on our team, you will be responsible for working out how to bring our vision to life across multiple project streams.

You will work closely with our founder and team leads to solve issues, resolve bottlenecks, provide early warnings and collaborate to provide solutions and proactively manage, coordinate and support.


Continuous Improvement

Implement processes and tools/systems to improve project efficiency and effectiveness. We do not aim to run project management by the book and police methodologies, but create and adapt the right methods and variations for us and run it the best suitable way.

Identify opportunities for innovation and process improvement across the company


Cross-Functional Collaboration

Collaborate with other department heads to ensure cross-functional alignment and achieve our organisational goals.


Freedom and responsibility

As a member of an early startup team, you will have a lot of say in how things will be done and even who to do this with. You will work closely with our founder to understand and translate the vision into a full product and great end-user experience.

This role comes with a lot of freedom in terms of how you do things; ultimately, the goal is to provide an amazing product experience for the end users. As a small team, we are not looking to micro-manage and control every task, nor do we have extensive policies and guidelines to police. We are endorsing freedom and autonomy but with responsibility and collaboration.


International environment

Although the first year of development and launch will be based in Japan and focus on the Japanese market, the company intends to go global fast. Moreover, our founder and the founding team are pretty international in their background from all around the world. For this reason, we are looking to hire an international team. Much communication will happen in Japanese, but the company’s first language is English.

Despite this, as the original release of this product will happen in Tokyo and Japan for Japanese users, you will be working with and for Japanese end-users to begin with.


Team and method

We aim to work in a low-overhead agile environment with high collaboration and communication. You will be working with our founder and functional leads as main counterparts. We will have an office in Tokyo and work in a hybrid-environment with the option to work some days from home. How you divide your time will be much of your responsibility as the situation requires.

Requirements - What you would need:

  • Bachelor's degree in Business, Engineering, or related field OR you have alternatively relevant business experiences or a professional PMO qualifications (Prince2, PMP, PMI-ACP, CAPM certification or similar)

  • Minimum of 1 years of work experience

  • Some Project management skills

  • Excellent verbal and written communication skills, with the ability to effectively communicate with stakeholders at all level

  • Japanese and English professional-level proficiency (need to communicate in both languages externally)

  • Good experience in the Microsoft Office 365 suite

  • Strong ability to positively motivate and lead projects with cross-functional teams

  • Strong problem-solving skills, with the ability to identify issues and develop effective solutions

  • Self-starter with a high level of initiative and the ability to work independently

  • High willingness to learn and develop.

Additional Notes

Our team is spread worldwide and our manufacturing partner is based in China. Therefore, additional language skills are a plus (esp. Cantonese or Mandarin).
